How to Organize Digital Files on Your Computer (Once, Properly)

By Sarah Mitchell · 2026-10-10 · 6 min read · Productivity — Digital Organization

Use five top-level folders

Work, Personal, Finance, Photos, Archive. Everything lives in one of the five. Inside each, folders by year or project — never deeper than three levels.

Name files so search finds them

Start names with the date for time-based files (2026-10-13_invoice.pdf) and use plain descriptive words. Future-you searches by keyword, not by folder memory.

Back up with the 3-2-1 habit

Three copies, two different devices, one off-site (cloud counts). Automate it once — backups you must remember do not happen.

Frequently Asked Questions

How long will this take?

Two to three focused hours for most people. Do it in one sitting with music on — half-organised is just a new mess.
